Smart Phone Management In The Office

Like any other new technology that proves to increase productivity and make our lives easier, smart phones have become part of the work place. Since it is easier to join the masses rather than fight against their acceptance, companies can allow their utilization by putting new security and management practices into play.

Global companies and organizations can decrease the dollar amount on their resources by placing a limit on the number of data roaming calls and international network utilization. Cost can quickly spiral upwards if it is not monitored and controlled. Even in country, with the advent of new iPhone and iPad plans from AT&T, data use can increase in a short amount of time. While connection time may seem trivial, it is the amount of megabytes from downloaded web sites that consume a monthly plan. Pictures, music files, videos, and very graphic intensive sites are the largest consumption hogs.

Apple limits the types of applications allowed in their App Store, and with good reason. Certain applications leave themselves wide open for security breaches and intrusions. Also, the instability of plug ins and add ons also add to the problem. Companies will also have to adopt the same mindset. By providing access to applications that are on an approved and certified list, and only allow approved remote devices, management is easier controlled. Users will benefit, and data centers can control which applications gain network access.

As with other forms of data storage and retrieval, a good data backup and recovery scheme put in place saves emails, data files, and other intellectual content can be retrieved in case of unfortunate circumstances.

In the case of extremely sensitive materials, there should be a separation of personal data, and professional information. As organization disallow the downloading or attachments of critical data to remote devices or removable storage, smart phones will need to be added to the list. While the prevention of downloading data to devices may not be feasible, a separation of business and personal data, stored in distinct, dissociated locations is a better option. The business data can now be monitored, and access restricted at a heightened classified level.

As with other means of security, specialized antivirus software, firewalls, and related security intrusion mitigation solutions will have to be put in place to protect smart phones and other remote devices. While smart phones have a higher degree of built in security (provided the smart phone was not jailbroken), the rate of attack is less that operating systems and workstations. Still, an ounce of prevention goes a long way.
